By setting up an allotment matrix, you can fully automate your daily operations
Note: Automated allotment is a chargeable feature, please connect with support@indecab.com to activate it for you.
Simply go to Operations - Automated Allotment - click on Add Auto Allotment Contracts
Here you will see the following:
1- Start Date & End Date : Enter a contract date during which the allotment settings will be applicable
2- Disabled: This is to be selected only if you want to assign an existing contract as disabled.
Once you enter the new contract dates and click on Submit it will create a new Auto Allotment listing. Click on the contract date then EDIT
Click on Add New Row - under City you can choose a specific city or select ‘All’ - select Supplier who should be automatically allotted a duty - Order number - mention duties per day - select for which Duty Type and Vehicle Group
This way you can setup automated allotment to multiple suppliers
Lets understand in-depth on what each selection means:
1- City: Select the city for which you want to create an auto-allotment path.
2- Supplier: Select the supplier who should be assigned the duty.
3- Order: This defines the sequence for allotment. For example, in the image above, Order of Crypto Car Hire is set as 1 and Vamos Car Rental as 2. Hence bookings will be assigned to Crypto Car Hire first.
4- Duties per day: This refers to the maximum number of duties that can be assigned to a supplier each day. For example, if 4 duties are created for Mumbai city, covering 250 km per day in the Luxury Car category, they will be assigned to Crypto Car Hire first. If the number of duties exceeds 4, Vamos Car Rental will be considered for the 5th duty and will continue to be assigned duties until the next batch of 5 duties is completed.
5- Duty Type: Select the duty type for which duties should be auto-allotted
6- Vehicle Group: Select the Vehicle group for which duties should be auto-allotted.
Note: If the auto-allotted duties for a vehicle group have been assigned to all the suppliers in a day, the cycle will be repeated. The next set of duties will be automatically assigned to the first supplier in the series.
Go to Duties - Add Booking - Enter a booking that pertains to the auto allotment contracts you have entered - once you click on Book it will automatically send a request to the supplier based on the Order setup
Note:
1- If you have setup a default supplier in your Business settings, the suppliers entered in the Auto Allotment contract will override the settings
2- If the Passenger has permission to select Supplier while creating a booking, the duty will be allotted to the supplier based on your auto allotment settings. The passenger’s choice of supplier will be overridden.
3- If you have not setup an auto allotment contract for a specific supplier, vehicle group or duty type or city you will not be able to create a booking
4- If auto allotment has been setup for your business and you have not created any contract you will not be able to create a booking.
5- If ‘Restrict booking creation if automated allotment fails to allot duty’ is not selected in business settings, if the above criteria of booking does not match you will still be able to create a booking but it will not be allotted.
