Understanding how to control vehicle and driver expiry

This article will help you create a workflow that will keep you informed of any upcoming expirations while keeping your drivers and vehicles reserved at all times. Automate your vehicle and driver document maintenance schedule.

Step 1) Update Driver & Vehicle document expiry dates in your Masters: You will receive alerts on your dashboard 30 days in advance of the mentioned dates.

a- Add expiry alerts for My Vehicles- Go to Masters - My Vehicles - Click on the Vehicle - EDIT - Enter document Expiry dates - Save.

b- Add expiry alerts for My Drivers- Go to Masters - My Drivers - Click on the Driver - EDIT - Enter document Expiry dates - Save.

Step 2) Set up an automated allotment process in place: You can choose to give permission for allotment of Drivers & Vehicles with expired documents.

a- Allow Allotment to Driver & Vehicle with expired documents- Go to Me - Business Settings - Under Duties/Booking settings click on ‘Allow allotment to driver/vehicle with expired documents’- Save changes.

Note: Current document expiration alerts would be visible during allotment under ‘Document Status’ always. However, you can still allot.

b- Only allow allotment to Drivers & Vehicles with valid documents- If you have not given permission in your business settings as mentioned above, the allotment would not take place for Drivers & Vehicles with expired documents.

Tip: Give each driver and vehicle a unique mobile and vehicle number to improve fleet management. You may achieve better control by preventing duplicate entries for active drivers and cars with the same mobile and vehicle number.

Note: Expiration alerts under Document Status are only visible for new/upcoming duties, alerts are not visible for past-dated bookings

Thank you.
