How to setup and use auto-collect

You can now automate the collection of payments from your customers with our new auto-collect feature. Based on your contract terms, you can set up an automated payment system that ensures payments are received as soon as a duty is completed, in accordance with the maximum collection amount specified for each transaction.

Note: Auto Collect is a paid feature. Please connect with our support team on support@indecab.com to activate this feature for you.

How to setup Auto Collect?

Go to Masters - Customers - click on the Customer Name - EDIT - under Auto-collect settings click on Enable auto-collect to passenger - Enter the maximum amount that can be auto-collected from this customer in a single transaction- Click on Save




Once you have configured this at the customer level, you must apply the same setup for the customer and passengers whose bookings you will receive.

Go to Operations - Auto-Collect - click on Add Auto-Collect - here you will see a pop-up with the following details:

1- Name: Enter company/passenger name

2- Email Address: Enter company/passenger email address from which you will receive booking and will reflect when auto-collect email is shared

3- Phone No: Enter phone number

4- Customers: Select the customer master under which the booking will be shared

5- Maximum auto-collect amount: This is the maximum amount that you can charge your passenger in a single auto-collect payment request.

Note: In case the corporate customer has multiple shared entities under which bookings are sent, you must select the sister companies under the ‘Customers’ section. You will also need to enable auto-collect settings in the shared entity customer profile.



Once auto-collect has been set up, the passenger will receive an authorisation email on the registered email id.

Once the passenger clicks on Authorize Auto-collect, a Razorpay pop-up will open to complete a confirmation transaction of 1 Rupee with the card details you have entered.





How to use?
When the customer sends a booking under an email id which is not authorised you will receive a notification alerting you of the same.

The auto-collect needs to be first authorised on the email id under which booking is sent


Till the authorisation process is not completed the duty will remain as unconfirmed status



Please complete thesetup process for you to be able to allot the duty, refer the steps mentioned above in ‘How to setup?’

Incase if you need to re-send an authorisation email to your passenger, simply go to operations - Auto-collect - next to the passenger name click on the small gear icon - select ‘Send auto-collect authorize email’




How to generate an auto-collect request?
Once you complete a duty for a passenger and generate an invoice, you will be able to share a payment request which will then convert to an auto-collect request.

Go to Operations - Billing - click on the invoice - click on Request Payment - A pop-up will open that allows you to request Auto Collect if the setup has been completed - You can choose to attach the duty slip to the email or you can select ‘No, I want to create payment request manually’ which will turn this to a payment gateway link - click on Send

The customer will receive an email on their email id to Approve or Reject the auto-collect payment




Note: If a payment is not approved/rejected within 48 hours the auto-collect payment will be processed.
